Holy Spirit School New Volunteering Policy and other Information:

-         Each family is required to volunteer a minimum of 20 activities per school year or pay a non-participation fee of $150.00 per family.

o       1 time Yard duty = 1 activity

o       1 time Cafeteria duty = 1 activity

o       For all remaining, 1 hour = 1 activity.

-         Families will receive 2 volunteering sign up sheets, one in June for the fall fundraising activities and one in October for the winter and spring.  Volunteers MUST sing up for specific activities and MUST include dates and times.

-         One coordinator is needed for specific events.

-         For yard and cafeteria duties, parents of each grade will be responsible for the two months per year.

o       September & April: 1st and 4th

o       October, May thru graduation: K, 5th and 8th

o       November & January: 3rd  & 6th

o       December & February: 2nd  & 7th

o       March: Pre-k & 8th

-         A 48 hour notice is required if a volunteer cannot make it on the day of the activity.  Volunteers MUST have a substitute that can attend in their place.  They are responsible to inform the sub of what needs to be done and providing all necessary phone numbers.  Failure to not show up twice and not follow the above rules will result in taking the volunteer off the volunteering list and of being charged the volunteering fee.

o       If volunteers are unable to reach the coordinator of an event, for any reason, they can call someone in the home and school committee.  Phone numbers and email addresses will be provided to all.

-         In addition to the signing in and out volunteering sheet at the school, parents will have a separate sheet that must be signed with the hours in and out by the teacher, coordinator or those responsible for every event.

-         All fundraising events and activities will be posted on the school web site, in the church bulletin (both churches) and flyers posted in the area businesses, if needed.  Events will be opened to parishioners and some to the public.

-         For field trips, parents will have to send with their children $5 or $10 (depending on the cost of the trip) along with the permission slip to defray the cost of the trips.   Students that come to school without the money for the trip will not be allowed to go on the trip.

-         Money raised from every fundraising event will be assigned to a specific goal.  A letter will be sent to the parents to explain more about the goals and how the money will be distributed.  Also amount of money collected will be announced after every event.

-         For the Spanish and Arabic speaking parents who would like an interpreter during meetings with any of the school staff or need assistance in completing forms, an interpreter will be provided.  All information and discussion will stay CONFIDENTIAL.  (No volunteers are needed)

-         We would like to assign one parent to every 2 to 3 new parents to the school.  Duties will include welcome them into the school, answer questions, take them on a tour of the school… if unsure of any information, the parent need to refer back to the teacher or the school office for the correct answers.  New parents should not be given any false information.  Volunteers assigned to new parents of Pre-K and K. must attend the Pre-K. and K. Parents/Teacher Orientation.

-         Volunteering forms MUST be completed by the end of August and submitted to the school the first day of school or before if possible.  A meeting with all volunteers, coordinators, home and school committee and Sister Catherine will be held during the first week of September to discuss and answer any questions.  Msgr. Kozel and Msgr. Byrne will be invited to attend this meeting and all meetings concerning any and all decisions made for the school.

-         There will be new fundraising activities for the teachers in order to support them in purchasing supplies for their classrooms.  The “teacher’s white angel” fund will be use for this matter.

-         Profit from Friday Pizza Sales will revert to the Home & School Association to help defray the cost of school field trips.

-         All Volunteer spots are on a “first come first served” basis. This is because of the limited number of spots available for certain activities.
